Conferences

Conferences

A conference is a powerful format for client events: a professional setting where you can strengthen relationships with both local and international partners. We’ll create a conference that makes both you and your guests genuinely excited. You bring the objectives, we bring the concept, the right venue, technical delivery, engaging interludes and speakers, and everything else needed to make it work.

We’ll create a conference that makes both you and your guests genuinely excited.

You provide the goal and content, we provide the concept, the right venue, technical solutions, performers and everything else that might be needed.

A conference where the host feels like a guest and participants enjoy every moment

A great conference is not just a programme and a stage. A great conference is a feeling.

For the host, it means everything is under control: decisions are clear, timelines hold, budgets stay on track, and risks are managed before they have a chance to arise. If needed, we can also provide Small Talk training for your team to help conversations flow more naturally. For participants, it means the entire journey feels effortless: registration is simple, movement is intuitive, information arrives at the right time, technology works, and the space feels good to be in.

And increasingly, it also means a third thing: the conference is designed in a way that you can feel good about from a sustainability perspective. No lectures. Just smart, balanced choices, and when needed, we can go all the way down to the details.

WOW Events helps you deliver a conference where both the organiser and the participant experience is thoughtfully designed from start to finish. Smooth, professional and responsible. The kind of event that leaves people saying: “It’s a shame it’s already over.”

How we support the conference organiser

When organising a conference, the most important thing is that decisions are goal-driven and realistic to deliver. Our role is to take a significant share of responsibility off the organiser’s shoulders and keep the whole project under control.

  • Recommending the best solutions based on your objectives (format, programme logic, participant experience, technical setup, timeline)
  • Project framework and management: timeline, roles, decision-making structure, checkpoints, meeting cadence and documentation
  • Budgeting and procurement logic: budget framework, priorities, quote comparison, budget discipline and cost transparency
  • Risk management plan: risk mapping, preventive measures, contingency plans and procedures for critical moments
  • Developing the sponsor value proposition: sponsorship packages, visibility logic, expo/partner areas, value add-ons and sales messaging
  • Sponsors, partners and expo workflow: offers, contracts, communication, timelines, technical requirements and on-site delivery
  • Conference marketing and communications plan and execution: target groups, messaging, channels, timing, content production, invitations and follow-up communication
  • Registration platform and participant management: ticketing, automated emails, database, lists, check-in solution, special requirements and catering information
  • Programme and speaker support: speaker coordination, stage plans, tech checks, timing, slide review and moderation/panel coordination
  • Format and experience design: parallel session logic, pacing, breaks, networking, side programme (e.g., sightseeing tours), and the full participant journey from start to finish
  • Venue selection and negotiations: room plans, flow logic, accessibility, hotels/transport, service standards
  • Technical production and stage design: sound, lighting, video/screens, parallel rooms, recording/live streaming and an integrated stage-visual experience
  • Logistics, service and safety: transport, venue teams, security plan, accreditation, signage, info points and guest flow
  • Applying for local and national grants/support: mapping suitable funding measures, collecting inputs, preparing applications and managing deadlines
  • Practical sustainability (ESG) choices: sensible materials and quantities, waste sorting logic, digital solutions, supplier choices and, if needed, a short summary
  • Run-of-show + rehearsal: minute-by-minute show script, role allocation, rehearsals, show-calling and on-site quality control
  • Post-event follow-up within 24–72 hours: thank-you communication, materials, feedback, lessons learned and a post-event report (including recommendations for next time)

A seamless participant journey

Guests shouldn’t be thinking about the logistics. They should be enjoying the content and connecting with others.

Before the event

  • Registration and ticketing are simple
  • Information is delivered on time and in one place
  • Expectations are clear: where to go, when to arrive, how the days will flow
  • And if we make sustainable choices (e.g., digital solutions, less printing), guests understand them without any loss of comfort

On the conference day

  • Arrival and movement are intuitive (including parallel sessions)
  • Stage visuals, sound and screen content work without “excuses”
  • Service supports the experience, rather than interrupting it
  • Sustainability is visible in a good way: fewer single-use items, clear sorting and water points, sensible quantities, and well-considered materials

After the event

  • Materials and follow-up information are delivered smoothly
  • Feedback is collected in a way that creates real insight, not just “it was nice”
  • And if you wish, we provide a short sustainability summary (what was done, what the impact was, and what we can improve next time)
